Scope

This Privacy Policy applies to manuals.deeppsy.io and to personal data processed when visitors use this site to access DeepPsy Biomarkers Instructions for Use, report guides, changelogs, documentation update notifications, and paper-copy request instructions.

It does not replace privacy information provided for the DeepPsy portal, clinical services, patient referrals, research activities, or other DeepPsy websites and systems.

Data we collect

We collect only the personal data needed to provide and support this documentation site.

  • Paper copy requests: name, company or organization, professional role when relevant, contact details for delivery, delivery address, email address, telephone number if provided, requested document and version, and information needed to confirm eligibility and deliver the requested IFU or report guide paper copy.
  • Documentation update notifications: information submitted through the documentation update form, such as name, email address, organization or role, document interest, and notification preferences.

Website hosting

This website is hosted using Amazon Web Services. Website files are stored in Amazon S3 and delivered through AWS CloudFront. When you open this website, your browser necessarily sends technical request information, such as your IP address and requested URL, to AWS so the page and files can be delivered.

DeepPsy does not enable CloudFront or S3 access logs for this website and does not use the hosting layer to identify visitors, perform analytics, or monitor individual browsing behavior.

Purposes and legal bases

We process personal data to provide access to regulated documentation, send documentation update notifications, deliver paper copies, and keep records needed for controlled medical-device documentation processes.

Paper-copy request data is processed to perform your request and to comply with regulatory obligations for medical-device documentation. Documentation update notification data is processed based on your consent. Technical hosting data is processed by AWS to deliver the website and is based on DeepPsy's legitimate interest in making official documentation available online.

Required and optional information

For paper-copy requests, we need enough information to confirm the requested document and deliver it to the correct recipient. If required delivery information is not provided, we may not be able to fulfill the request.

For documentation update notifications, an email address is required to send notifications. Other details, such as organization, role, document interest, or notification preferences, are used to make the notification list accurate and may be optional depending on the form.

Recipients and service providers

We may share personal data with service providers that help us host and deliver the website, manage documentation update forms, send communications, handle delivery of paper copies, or operate linked forms and files.

These service providers may include Amazon Web Services for Amazon S3 and AWS CloudFront hosting, Google services for forms, files, fonts, and video links, email providers, and delivery providers used to send paper copies. If you open an external link, the provider may process data under its own terms and privacy policy.

International transfers

DeepPsy is based in Switzerland. Some service providers, including AWS and Google, may process personal data in Switzerland, the European Economic Area, the United States, or other countries where they or their subprocessors operate.

Where personal data is transferred to a country without an adequacy decision, DeepPsy relies on appropriate safeguards such as Standard Contractual Clauses or equivalent contractual and technical measures where required by applicable data protection law.

Retention

We keep personal data only as long as needed for the purpose for which it was collected, unless a longer period is required by law, regulatory documentation controls, dispute handling, or security obligations.

Delivery details collected for paper-copy requests are used to validate the request and complete delivery, then deleted when they are no longer needed for that purpose. Documentation update notification data is kept until you unsubscribe or ask us to delete it.

Cookies and analytics

This manuals website does not use analytics, advertising tracking, or non-essential cookies. If this changes, DeepPsy will update this Privacy Policy and, where required, request consent before using non-essential cookies or similar technologies.

Your rights

Depending on applicable data protection law, you may have the right to request access, correction, deletion, restriction, portability, or objection to processing of your personal data. Where processing is based on consent, you may withdraw that consent at any time without affecting processing that took place before withdrawal.

You have the right to object to processing based on legitimate interests. You also have the right to lodge a complaint with a competent data protection supervisory authority, including the Swiss Federal Data Protection and Information Commissioner where applicable.

Security

We use technical and organizational measures intended to protect personal data against unauthorized access, misuse, loss, or alteration. No internet service can be guaranteed to be completely secure, so please avoid sending sensitive patient or clinical data through ordinary email unless DeepPsy has instructed you to use that channel.

No automated decision-making

DeepPsy does not use personal data processed through this manuals website for automated decision-making or profiling within the meaning of Article 22 GDPR.

Children

This manuals website is intended for operators, physicians, clinic and hospital staff, regulatory reviewers, and other professional users. It is not directed to children, and DeepPsy does not knowingly collect personal data from children through this website.
